A deficiency photo has three readers. The office uses it to write the proposal. The customer uses it to decide whether to approve the work. The Authority Having Jurisdiction (AHJ) uses it to confirm the finding and, later, the repair. A photo that serves all three shows what is wrong, where it is, and how bad it is, in one frame. Most technicians shoot on an iPhone or iPad, so these ten habits are written for that camera. None of them take more than a second.

1. Clean the lens
The phone lives in a pocket, a glove, and a truck cab. A smeared lens turns every photo into a soft haze that hides the corrosion or the crack you are trying to show. Wipe it on a microfiber cloth or the inside of a shirt before the first photo of the day and after any dirty work.
2. Turn on the grid
Settings, then Camera, then Grid. The lines help you keep a riser or a panel level and centered, which matters when the office needs to read a gauge or a label in the photo. A crooked, off-center photo reads as careless even when the finding is real.
3. Let HDR handle the contrast
Mechanical rooms mix dark corners with bright fixtures. Current iPhones apply Smart HDR automatically and keep detail in both the shadows and the highlights. If your model shows an HDR control in the Camera app, leave it on. The photo of a dark valve under a bright lamp is the one that used to come out black.
4. Tap to focus on the deficiency
Tap the screen on the thing that is wrong: the leaking clapper, the corroded fitting, the missing escutcheon. A yellow box confirms the focus point. The camera's automatic focus tends to pick the brightest or nearest object, which is often not the problem.
5. Slide to adjust exposure
After you tap to focus, a small sun appears beside the box. Drag up to brighten, down to darken. Two seconds of adjustment beats a retake, and it is the difference between a legible tag and a white rectangle.
6. Keep location on for the camera
Settings, Privacy & Security, Location Services, Camera, then While Using. The photo carries its GPS position, which helps when a building has three risers or a campus has forty extinguisher cabinets. Inspect Point attaches the photo to the specific device and location on the inspection record, so the where is recorded either way; the GPS is a backstop.
7. Use the wide lens for context
The 0.5x lens fits the whole riser, the whole panel, or the whole cabinet in one frame. Take the wide shot first to show where the deficiency sits, then the close-up to show what it is. The pair is what the customer needs to picture the repair.
8. Shoot a vertical panorama for tall equipment
A standpipe, a tall riser, or a rack of cylinders does not fit in one frame from where you can stand. Turn the phone to landscape, start Pano, and sweep from bottom to top. The result shows the full run with the deficiency in place.
9. Flip the phone for the low angle
To photograph a drain valve, a sprinkler head under a shelf, or the underside of a cabinet, turn the phone upside down so the lens sits at the bottom edge. You get a lower angle than you can from a crouch, without lying on the floor.
10. Use Night mode in dark spaces
Attics, crawl spaces, and unlit mechanical rooms are where deficiencies hide. Night mode appears automatically in low light on recent iPhones; hold still for the second or two it asks for. A flashlight held off to the side by a second person works when Night mode is not enough.
The bonus habit: mark it up
A circle or an arrow drawn on the photo tells the customer where to look without a paragraph of explanation. Open the photo, tap Edit, then Markup. Keep it to one shape and one color. The markup is for the reader who has never seen a riser.
What makes the photo useful after it is taken
- Attach it to the device, not the job. A photo on the deficiency record is findable next year. A photo in the camera roll is not.
- Pair it with the code reference. The finding plus the clause is what turns a photo into a proposal line the customer approves and the AHJ accepts.
- Take the after photo too. The repair closes the deficiency, and the AHJ likes to see it closed.
